Creating Task for Mobility in Xilnex Portal

1. Login to Xilnex Portal using your Xilnex credential.

2. Click on "Operations" tab on the left side panel.

3. Under Business Operations, click on "Task Scheduler".

4. Then click on "Task Scheduler Listing".


5. All created tasks are displayed in this listing. There are 2 available listings in this page:
  1. View by task header list: Default list once this module is launched. It displays the main settings of the created task.


  2. View task list by user: Displays the status and details of the individual tasks by assignee.


6. To create a new task, click the "New" button.

7. Each task will have 3 tabs as defined below. Each tab will be discussed in depth in later segments.
  1. Task Information: For the assigner to define the attributes of the task such assignee and recurrence settings. The info required in this tab are standard regardless of the task type.
  2. Function: Defines the core function and behaviour of the task based on the type selected.
  3. Task Progress: Displays the task performance by assignee, which is only visible once the task is confirmed.


8. Components of the task information tab:
  1. Status: Overall status to determine the validity of this task. Only consists of Save, Confirmed or Cancelled.
  2. Task Info: Summary panel showing system-generated data once the task is created.
  3. General: Section for the assigner to fill in the core task attributes.
    1. Task Title: Provide a title for the new task.
    2. Task Description: A detailed elaboration of the task for assignee’s reference (eg: instructions, guidelines etc)
    3. Priority: Priority of the task
    4. URL: Link to webpage 
    5. Attachment: Upload files for assignee’s reference [formats supported: PDF, excel (.xls, .xlsx, .csv), word (.doc, .docx), powerpoint (.ppt, .pptx), image (.jpg, .jpeg, .png)]


  4. Date and Time: Scheduling details for the tasks
    1. Start Date: Indicates the date this task begins
    2. End Date: Acts as the stop date of the date range selected for recurring task setting
    3. Start Time: The time the task is supposed to begin
    4.  End Time: The time the task is expected to be completed
    5.  Recurrence: When to repeat this task
      1. No (run only once) : Task does not repeat
      2. Daily (repeat every day) : Task repeats every day until the end date
      3. Weekly (repeat every week from start date) : Task repeats on the same day every week until the end date
      4. Fortnightly (repeat every 2 weeks from the start date) : Task repeats on the same day every 2 weeks until the end date
      5. Monthly (repeat every 30 days from the start date) : Task repeats after 30 calendar days
      6. Custom : Able to configure repetition pattern

  5. Assignee: Section to assign the task. Defines where and who this task is for:
    1. Apply to store: Select the outlets that this task is applied to
    2. User type: Assign this task by user group or specific user(s)
      1. User group: Task assigned to a user group will be applied to all users within that group.
      2. User list: Task is assigned to specific user.
    3. Set task as group task toggle: Determines whether the task is a group of individual task.
      1. Enabled: Task is shared among selected assignees within the outlet, and task is considered completed once an assignee completes it.
      2. Disabled: Each assignee needs to complete the assigned task individually.

9. Function tab fields based on the selected task type:
  1. Reminder: Simple acknowledgement-type tasks.
  2.  Inventory: Links to inventory modules such as Purchase Order and Stock Take.
  3.  Communication: Contains a list of clients to be contacted by the assignee
