Understanding P&L Performance in Xilnex for Lark

Overview

P&L Performance automatically synchronizes your store financial data into Lark, providing a consolidated view of daily, monthly, and yearly financial performance without the need to manually combine reports from multiple sources.

This article covers what you'll see once P&L Performance has been set up.

What's inside your P&L Performance base

Your base contains three tables:

Provides daily financial performance for each store, including sales, expenses, and profit figures.
Monthly Rollup
Consolidates daily P&L data into monthly summaries, allowing you to review store performance over a longer period.
Yearly Comparison and Trend Analysis
Compares yearly financial performance and highlights trends across stores over time.

How data gets there

Financial data from Xilnex is automatically synchronized into Lark. Based on the configured P&L settings, daily P&L records are generated and then consolidated into monthly and yearly summaries automatically.


Reading the dashboard

  1. P&L Performance Dashboard

    Provides an overview of:

    • Revenue
    • Expenses
    • Profitability
    • Financial performance trends across different reporting periods

Automated alerts and summaries

  1. Monthly P&L Review Reminder
    1. Sends a monthly reminder to review the latest P&L performance, helping finance teams and business owners monitor financial results on a regular basis.

  2. Yearly P&L Review Reminder
    1. Sends an annual reminder to review yearly financial performance, supporting year-end analysis and long-term business planning.

  3. Expense Submission Reminder
    1. Sends reminders to ensure monthly expense data is submitted on time, helping keep P&L reports accurate and up to date.
  1. YoY Decline Watchlist
    1. Highlights stores included in the year-over-year (YoY) decline watchlist and sends notifications to the configured recipients for further review.
Each automation runs on a scheduled basis and sends Lark notifications to the configured recipients, reducing the need for manual follow-up and helping ensure financial activities are completed on time.

Setting Permissions

This base is primarily intended for finance teams, business owners, operations teams, and IT administrators. Access permissions are configured by your IT administrator in Lark, just like any other base.

The following permission settings are recommended for P&L Performance:

  • Daily P&L Summary, Monthly Rollup, and Yearly Comparison and Trend Analysis should be locked by default, as the data is automatically generated from synchronized financial records.
  • Finance teams, business owners, and regional managers should generally be granted View access so they can review financial performance without modifying generated records.
  • Edit access should be limited to IT administrators or designated data stewards.
  • To allow individual store managers to view only their own store's data, configure row-level permissions as follows:

    • Navigate to Advance Permission

    • Click on the [Turn On Advanced Permissions]

    • Select the necessary table that need to be set permissions
    • Navigate to [Record Permissions]

    • Set the permission to [Records related to members themselves] and save to apply changes.
Info
Locking specific fields or records requires Lark's Advanced Permissions feature, which is available only on supported Lark plans. On workspaces without that plan, this level of control isn't available. You'll only be able to set broad view or edit access per table, not per field.
Notes
Good to know
  1. There's nothing to configure in the P&L Performance base. Once P&L Operations has been configured and expense data has been submitted, financial reporting and calculations happen automatically.
  2. Like other bases, only data from after the base was created will appear. Historical data is not backfilled.
  3. P&L summaries will be available once sufficient financial data has been synchronized and processed.
  4. Changes made through P&L Operations are automatically reflected in the P&L Performance base after synchronization.
