Overview
The Users card matches each Xilnex user to their Lark account by email. This is what lets features like Permission Approvals and Document Approvals deliver Lark cards to the right person. This article covers how to review the mapping and fix any users that couldn't be matched automatically.
Step 1: Open Users Card
1. Go to Xilnex Portal → Plugins → Xilnex for Lark → Users.
2. Xilnex users are automatically matched to this Lark workspace by email each time you open this page. The Last update timestamp in the top right shows when this last ran. Click Refresh to check again.
If any users need attention, a banner appears at the top of Portal: "X users need attention."
Step 2: Review the List
The table shows Username, Name, Lark email, Status, and an action menu.
Status is either:
- Verified: the Lark email was found and matched.
- Not found in Lark: no match found. This is what needs fixing.
- No email set: no email was set for this user, thus nothing was matched.
Use the Status filter to narrow the list down to just Verified or unmatched users. You can also switch between searching by Username or Name using the dropdown next to the search box.
Step 3: Set a Lark Email Manually
For users showing Not found in Lark/ No Email Set:
1. Click the ... action menu next to the user.
2. Select 'Set Email' to set their Lark email.
3. In the Set Lark email dialog, the Xilnex account is shown at the top (locked). Enter the correct Lark email below it.
4. Click Save.
Xilnex checks that the email actually exists in Lark before saving. If it can't be verified, the status stays as Not found in Lark.
Good to know- Matching runs automatically every time you open the page. You don't need to trigger it manually unless you want a fresh check, which you can do with Refresh.
- Only users with a Verified Lark email can receive Lark approval cards and other Lark notifications. If someone isn't getting what they should, check their status here first.
