Product Introduction


Xilnex for Lark connects your Xilnex ClassicPOS system to Lark Suite. If your team is used to exporting reports, copying numbers into spreadsheets, or chasing approvals over chat, this replaces that manual work: your sales, terminal, and marketing data flows into Lark automatically, the moment it happens.

Once an IT administrator connects it, data lands directly in the Lark tools your team already works in. Sales, inventory, and terminal activity populate searchable Lark Base tables through five ready-made templates, while approval requests like discounts and voids route through Lark Approval, with decisions sent back instantly via Lark Message Card.

Built for businesses running multiple outlets or franchise locations, Xilnex for Lark is designed to scale across stores and regions without adding manual work as you grow.

Accessing Xilnex for Lark

Xilnex for Lark can be access through the [Plugin] feature on the top right – Kebab Menu icon and then select the [Xilnex for Lark].

Approval and P&L Operations

  • Approval is managed by its own card. It routes Xilnex approval requests (voids, purchase orders) to the right approver in Lark, and lets you review approval logs.
  • P&L Operations is to manage P&L (profit & loss) rates, expense templates, bindings, submissions, and reports.



Good to know before you start


Notes
Before you begin, please review the following important points:
  • One Xilnex account equals one Lark workspace. Running separate Xilnex accounts per region (e.g. Malaysia, Cambodia) means each region needs its own Lark workspace. Connecting a second account to an already-linked workspace will error out.
  • No historical data. Lark Base only fills up with new data from the moment you turn a base on, nothing from before that.
  • One-way sync. Data flows from Xilnex to Lark only. You can't push changes from Lark back into Xilnex.
  • Admin-only setup. End users can't configure anything, an IT admin must complete setup first. 

Confirm the following before starting:


Xilnex side
  • You can log in to Xilnex with IT administrator credentials
  • "Xilnex for Lark" is visible under Xilnex Portal → Plugins

Lark side
  • You have an active Lark Suite account (free tier supported)
  • You have admin access to the Lark Admin Console
  • You're able to install external/marketplace apps in the workspace


Troubleshooting


If "Xilnex for Lark" isn't visible in your Plugins list, your account may be missing permissions, or your database needs an upgrade. Contact Xilnex Support.
