P&L Operations allows you to configure the financial settings and expense templates used to generate P&L reports in Lark. Before P&L summaries and dashboards can be populated, you'll need to configure the required rates, create expense templates, and submit expense data.
This article explains how P&L Operations works and how to configure it after creating your P&L Performance base in Xilnex Portal.
Before you begin
- Ensure that a P&L Performance base has already been created before configuring P&L Operations.

How P&L Operations works
P&L Operations brings together rate configuration, expense template management, and expense submission in one place to generate your P&L reports.
The typical workflow follows this sequence:
- Configure MAF & Royalty Rate – Set the rates used in P&L calculations.
- Create expense templates in Manage Expense – Define the monthly and daily expense fields your stores will report against.
- Submit expenses – Enter actual expense values using the configured templates.
- Generate the P&L Flash Report – Review the consolidated financial report for the selected reporting period.
Each step depends on the one before it — for example, expense templates must exist before expenses can be submitted, and expenses must be submitted before they're reflected in the Flash Report.
What's Inside P&L Operations
P&L Operations consists of the following tabs:
Tab | Purpose |
MAF & Royalty Rate | Configure the MAF and royalty rates used in P&L calculations. |
Manage Expense | Create and manage expense templates for monthly and daily expenses. |
Submit Expense | Submit expense values based on the configured templates. |
P&L Flash Report | Generate the report based on the date range selected. |
Configuring MAF & Royalty Rate
The MAF & Royalty Rate tab is used to configure the MAF and royalty rates applied during P&L calculations.
To set the rates for MAF & Royalty:
- Navigate to P&L Operations in Xilnex for Lark.

- Open the MAF & Royalty Rate tab.

- Click on the [EDIT] button located on the top right of the screen.
- Enter the required values in MAF and Royalty fields.

- Click on the [SAVE] button.
Review the changes, then click [CONFIRM & SAVE] to apply.
The rates only need to be configured once. If the rates change in the future, click [Edit], update the values, and save your changes.
Managing Expense Templates in Manage Expense
The Manage Expense tab is used to create expense templates that will later be used when submitting expenses.
Creating an Expense Template
- Click on the [NEW] button at the top-right corner of the page.

- Enter Expense Template Name in the text field.
- Select one or more stores that share the same expenses.

Each store can only be assigned to one expense template at a time. If a store is already assigned to another template, it must be removed from that template before it can be assigned to a new one.- Manage Expense consist of two expense sections:
- Monthly
The Monthly section includes predefined expense fields provided by the system.
To configure the Monthly section: - Enter the default value for each predefined field, where applicable.
- Click the [ADD FIELD] button to add additional expense fields, then enter an appropriate field name.
Turn on the Required toggle if you want the field to be mandatory whenever submitting expenses.
Notes
The Monthly section already includes predefined expense fields.
Predefined fields cannot be deleted.
Only custom fields added by the user can be deleted.
- Daily
The Daily section allows you to create expense fields for daily expense submissions.
To configure the Daily section: Click the [ADD FIELD] button to add new expense fields.
Turn on the Required toggle if you want the field to be mandatory whenever submitting expenses.

Notes
Daily expense fields do not support default values.
- Once you have finished configuring both Monthly and Daily sections, click on the [SAVE] button at the bottom-right corner of the page.
- The newly created expense template will appear in the template list.
- Click on the Expand icon at the right side of the row to view the stores assigned to the template.

Unbinding Store from Expense Template
Before a template can be deleted or deactivated, all assigned stores must first unbound from the template.
To unbind a store:
- Click the More (⋯) icon (three-dot menu) on the right side of the row.
- Select Unbind Store.

- A confirmation modal will appear. Click Confirm to proceed with unbinding the store.

Once the template is deleted, it cannot be restored or recovered. Please ensure that the template is no longer needed before proceeding with the deletion.- Once the store has been successfully unbound, a notification will appear confirming that the store has been successfully unbound.

Deactivating an Expense Template
To temporarily stop using the template:
- Toggle the button to Disabled.

The assigned stores will remain linked to the template, but the template will no longer be active for expense submission.
Deleting an Expense Template
To permanently delete an expense template:
- Ensure all assigned stores are unbound from the template.
- Once no stores are assigned, click the More (⋯) icon (three-dot menu) on the right side of the row.

- Select Delete.
When a template is edited, it becomes a store-specific configuration and its status changes to Configured.
To restore the original template, click Reset to Default.
